Class Coordinator &
Officer Responsibilities
There shall be a Class Coordinator for each Class (or grade). He or she shall help coordinate meeting dates and places. He or she shall assist the members with Roberts Rules of Order so that the members will ultimately lead and participate in meetings unassisted. The Class Coordinator will be a liaison between the Executive Director and their group, including providing a current roster to her and all members in their class. The rosters will not be posted on the website. The Class Coordinator should make sure the meeting minutes and photos are posted to the website. The Class Coordinator will verify hours of each Member in their group after the year-end deadline.
Each Class should not exceed 20 members. All Class Coordinators will go through a criminal background check as part of Lion's Heart insurance requirements.
Officer Responsibilities
All positions are to be held for a one-year term, starting in May and ending April 30th of each year. Elections for new officers will be held during the first meeting in May. All members should hold an officer position before any member repeats as an officer.
(Due to the shortened 2009/2010 year, the new officers will hold their positions from September, 2009 to April 30, 2010.)
President: The President shall set an agenda for each meeting and send it via email to each Member in his class at least one week prior to the meeting. The agenda should include the date, time and place of the meeting, and matters to be discussed. The President shall lead each meeting and follow the agenda using Roberts Rules of Order. The President may add a total of 3 hours for the year to their Volunteer log.
Vice President: The Vice President shall lead the meeting in the absence of the President. The Vice President shall place a phone call to each Member the morning of the meeting to remind them of the meeting and give driving directions if needed. The Vice President shall also keep track of Members who have missed three meeting and notify the Class Coordinator if and when this occurs. The Vice President may add a total of 1 hours for the year to their Volunteer log.
Secretary: The Secretary shall provide a sign in sheet for each member to sign at the beginning of each meeting. The Secretary shall take detailed meeting minutes in Word format, but shall always include time and place of meeting, list Members in attendance, Members absent and details of the meeting, including any motions (in bold type). All Members shall be referred to by only their first name and last initial in the minutes for privacy. These meeting minutes shall be emailed to all Members within two weeks of the meeting. Meeting minutes shall be approved or corrected at the next meeting. Once approved, these approved or corrected minutes shall be sent via email to your Class Coordinator. The Class Coordinator shall send them via email to the Lion’s Heart webmaster for immediate posting on the Lion’s Heart website. The Recording Secretary may add 5 hours to their Volunteer log.
Treasurer/Historian: The Treasurer/Historian shall collect dues of $45 at the May meeting from returning Members. All checks should be made payable to Lion’s Heart. Arrangements shall be made by the Treasurer with absent Members to get their dues, as all dues are due by June 1st. Once collected from all Members, dues are to be delivered to Terry Corwin, Co-Founder of Lion’s Heart. All dues for returning Members must go through the Treasurer. No returning Member should be delivering their dues directly to Terry Corwin. Treasurer/Historian will also take at least four (4) photos of Members in their group and submit them to the Class Coordinator for the website (including one photo of the new officers if not taken at the Awards Dinner). This position or any other officer may add 1 hour to their Volunteer log.
